Meeting Minutes for July 27, 2005

Charlene Hurt convened the meeting at 2:18pm.
- Introduction of Bill Hardesty, Archivist
Approval of Minutes
- Minutes from the April 26, 2005 meeting were approved.
New Business
Gayle Christian, Bylaws & Elections Committee
- The Bylaws & Elections Committee submitted a proposed amendment to the Bylaws to dissolve the Communications and Public Relations Committee and a change to the Standing Rules to reflect the amendment; the committee also submitted a proposed change in the Bylaws of all instances of “William Russell Pullen Library” to “University Library.”
- Ballots are to be distributed on Thursday, July 28 and due by Friday, August 12.
- At the next Faculty meeting, Wednesday, October 19, the Bylaws & Elections Committee will submit another proposed change, and Gayle asked that any additional proposed changes be brought to the Bylaws & Elections Committee before the committee meets on Monday, August 15 so that all changes can be submitted to the Provost for final approval at one time.
III. Report from Library Administrative Officer
Carmen Newton
- The Health Sciences Liaison position is open; we have 21 applicants.
- The Instruction Coordinator and Training and Assessment Librarian positions are both open with review of applications to begin August 15.
- Three openings remain for Learning Commons Librarians; there will be interviews Thursday, July 28 and Tuesday, August 2.
- Carmen reminded faculty to double check pay stubs this Friday since it will be the first payday of the new fiscal year for faculty.
IV. Report from Associate University Librarians

Weeding
- The liaisons have been charged with weeding projects with help from the Catalog Department.
- Tammy Sugarman will coordinate the entire weeding project.
- Charlene asked liaisons to give a high priority to weeding.
Chemical Abstracts
- Chemical Abstracts, currently on LN2, will be moved to storage soon.
Other
- Lyn, Tammy, and Doug were congratulated on completing their tutorial.
V. Report from Dean of Libraries
Charlene Hurt
- Charlene will give a report on the Transformation on Friday, July 29. All are encouraged to attend. Information will continue to be available on the blog.
- The cage in the basement is being looked at as possible storage during the Transformation. All departments were asked to assess what is in the cage now and determine what is really needed.
- The library is working to ensure that students receive the same level of service throughout the Transformation process.
VI. Reports from Standing and Other Committees
Elizabeth Winter, Faculty Personnel Committee
- One faculty member was recommended for consideration for promotion for the 2005/2006 cycle.
- The deadline for recommendations was Friday, July 22.
VII. Reports from University and Senate Committees
Liz Bagley, Administrative and Support Unit Review (ASUR) Committee
- An orientation was held in May for the units being reviewed this year.
- The committee has met four times this summer. Sub-committee members have been assigned for upcoming self-studies due in December 2005 and March 2006.
- Reviews have been approved for the following units:
- Management and Staff Development Services (MSDS)
- The Office of the Dean of Students
- Building Services (within Facilities Management)
VIII. Announcements
Staff Day
- Skye Hardesty reminded us that Staff Day will be Monday, August 8 at Indian Creek. Anyone interested in volunteering can contact Skye or Jim Cochran.
- There will be a report on the Transformation, including the architects’ slideshow presentation.
Development
- Melisa Baldwin reported that the library’s development plan is going well. This is a three-prong plan: Transformation, Collections, and Special Collections.
- The next event will be September 8 at the Rialto. Labor troubadour Joe Glazer will perform songs, and a 37-minute documentary about him will be shown. This is the southern premier of the film. This event is funded by the William J. Usery fund. All are encouraged to attend.
